124TH STATED MEETING
JANUARY 28-29, 2022

ADVANCED MEETING INFORMATION

The 124th Stated Meeting of the Presbytery of the East (POTE) will be held on January 28 and 29, 2022. The Executive Council and the host church, Fourth EPC, have determined this will be a wholly in-person meeting, unless state/county COVID restrictions and/or severe weather prevent that from happening.  In either/both of these cases, the Stated Meeting will then be held via Zoom.

Below is preliminary information that may aid in your plans to attend the meeting in January.  Further details will be provided as they are finalized.

MEETING DATE/TIME

Pre-Presbytery Prayer Gathering:  On Friday, January 28, 2022, from 12:00-12:30 p.m., there will be a pre-Presbytery prayer gathering which will be held at the host church. A room will be identified upon arrival.

Friday, January 28, 2022. Check-in/registration begins at 12:00 p.m.  The business meeting will start at 1:00 p.m. on Friday.  Friday includes the Business Meeting, Moderator’s Dinner, and Worship Service. The Worship Service includes an offering for the Seminarian Fund.  The Sacrament of Communion will not be administered.

Saturday, January 29, 2022.  Saturday includes breakfast, a hymn-sing, the Business Meeting, and lunch.  The Business Meeting will begin at 9:00 a.m.

Parking at Church:  Ample parking in church lot.
Note:      There is no vehicle access directly from River Road onto the church’s parking area; from River Road, turn south onto Springfield Drive and then east onto Ridgefield Road, for vehicle access to parking areas (on both sides of the church building).

Room Rates:

Standard Room Rate (single and double occupancy):      $89 plus 13% tax.
Standard Room Rate (triple occupancy):                        $114 plus 13% tax
Standard Room Rate (quadruple occupancy)      :           $139 plus 13% tax

Parking at Hotel:
Self parking: $24 per day

Cancellation: Please note the hotel’s cancellation policy when making reservations.

Note: The hotel is 2.8 miles from Fourth EPC. Traffic is always heavy.

COVID Policies.  Check the hotel’s website for updated COVID policies.

MEALS

Meal Reservations.

Deadline for meal reservations is  600 p.m. on January 18, 2022.  Please respect the need to make reservations by this deadline so the host church can accommodate everyone.

Everyone attending, who wishes to have dinner, breakfast, and/or lunch at the church, MUST make meal reservations in advance of the deadline.  The website for meal reservations will be disabled at 6:00 p.m. on January 18, 2022, and no further reservations will be taken.  Reservations cancelled after this date must be paid to the church by the person making the reservation.

All of the meals being offered will be held on-site in Fourth EPC’s Upper Room fellowship hall.  Note:  Attendees are encouraged to enjoy the Saturday morning breakfast at Fourth church, since the Hyatt Regency Bethesda does not include a complimentary breakfast for its guests.

On-Line Meal Registration.

Click on “Click Here to Make Meal Reservations”, and follow the instructions for selecting meals.  {Note:  Don’t click on “Proceed to Checkout” until you have selected all your meals.} The meal registrations are set up so that only one reservation per individual can be made at a time—do not try to reserve meals for more than one person at a time, as this skews the meal count for which the church needs to plan.  To make a reservation for meals, enter your name, church/organization, email address, etc. as requested, and click on the meal(s) (Add to Cart) you want.  Cash or checks will be accepted when you check in at the church for the meeting.  There is no on-line payment.

Cost/Location of Meals 

Moderator’s Dinner—$20 — Friday evening, served buffet style. (all gluten free except rolls and trifle; only dairy item is trifle):

Rosemary Garlic Pork Tenderloin, roasted potatoes, green beans, rolls w/butter, green salad with vinaigrette dressing, dessert (trifle or fruit), coffee and water.

Saturday Breakfast: –$5– Cinnamon rolls, eggs, sausage, fruit cups, coffee and orange juice.

Saturday Lunch –$10– (packaged so they can be eaten at church and/or to go):  Chicken salad, croissant, pasta salad (regular and gluten free), fruit, brownie, and assorted single-serve beverages.

ADDITIONAL INFORMATION

WORSHIP SERVICE.  Friday evening in the church Sanctuary.  Sermon will be delivered by Rev. Dr. Timothy Mallard (Chaplain, Colonel, U.S. Army).

EQUIPITRY TRAINING.   The Equipitry Training will be provided by Rev. Dr. Tim Brown (Grace Covenant EPC) on “Sabbatical: Who Me? Yes, You!

COVID SAFETY PRECAUTIONS:  Details will be provided as they develop.
